1. Who we are & what we do

Green Tag is an Alberta-based web application that helps Canadian contractors and trades crews track worker safety certification expiries. The service lets a company account holder manage their crew’s certification records, upload documents, and receive automatic email reminders before certifications expire.

2. What personal information we handle

To provide the service, Green Tag handles personal information about your workers, including:

  • Worker names (first and last) and email addresses.
  • Certification names, issue dates, and expiry dates.
  • Uploaded documents such as certificates and photos (PDF or image files).
  • Manager account details such as name, company name, and email address.

This information is collected because the company account holder uploads it into Green Tag to manage their crew’s compliance.

3. Who is responsible for the data

The company account holder (the manager) is the party responsible for the worker information they upload — you are acting as the controller for that personal information. That means you are responsible for collecting it lawfully and for having any necessary consent under the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta’s Personal Information Protection Act (PIPA). Green Tag processes and stores that information on your behalf as a service provider. We handle it only to deliver the features of the app and to keep it secure.

4. How we store & secure data

We protect your data using industry-standard measures:

  • Data is encrypted in transit (TLS) and at rest in the database and in file storage.
  • Each company’s data is isolated using row-level security, so workers and managers can only access the records that belong to their own company.
  • Uploaded documents are stored under company- and worker-scoped paths (owner → worker), and access is controlled by policy.
  • Background jobs that send reminders use least-privilege service access and run on a schedule.

5. Data retention

We keep your company’s data for as long as your account or subscription is active. When a manager deletes a worker or deletes the account, the associated worker records, certifications, and uploaded documents are removed through the account-deletion process. Residual backup copies are purged according to our hosting provider’s standard retention schedule.

6. Access & deletion requests

Workers can view, update, or delete their own records through the app, or can ask their employer (the account holder) to do so on their behalf. If you are a worker and would like to access, correct, or delete the information we hold about you, you may contact your employer first, or reach us directly from the Help page. We action verified access and deletion requests within 30 days.

7. Third-party services

Green Tag uses trusted third parties to operate, and we share only the information each one needs to perform its function:

  • Stripe — processes subscription payments. Payment card details are handled by Stripe and are not stored by Green Tag.
  • Email delivery provider — sends transactional messages and certification reminders on our behalf. Recipient email addresses are shared only to deliver the message.
  • Meta lead ads — used only to capture landing-page lead inquiries. We receive the contact details you submit through those forms.

Each third party has its own privacy practices. We encourage you to review them.

8. Cookies & analytics

Green Tag uses minimal essential cookies required for authentication and to keep you signed in. We use limited, aggregate or anonymous analytics to understand how the app is used and to improve it. We do not use cross-site advertising tracking or sell usage data to advertisers.

9. Children's privacy

Green Tag is a workplace tool and is not directed at minors. We do not knowingly collect personal information from anyone under 18. If you believe we have inadvertently collected such information, please contact us and we will remove it.

10. Changes to this policy

We may update this privacy policy from time to time. The “last updated” date at the top of this page reflects the most recent version.
